Mail Converter  

Mail converter helps you to manage and automatically scans all your incoming emails efficiently and takes appropriate action in the CRM.

How to set up a Mail converter?


Follow the steps given below to set up a Mail converter :

1. Go to CRM settings > Other settings > Mail converter.




2. Click on the "Create Mailbox now" to configure your first mailbox.



3. If you have already configured a mailbox before, then you can click on the "Add Mail Box button".



MailBox Details


4. Adding a New Mail Box page appears >> Fill up the details.
5. Click on the Next button.






Field explanation

Field Name  Description
Scanner Name
Provide a label for your Mailbox. This is only for your reference eg: My Mail, Mail scan, etc.
Server name
Provide your IMAP mail server name eg: imap.google.com for Gmail.
User Name
Provide your unique mail customer User Name.
Password
Provide the password.
Protocol
Provide the Mail Server configuration by filling this field.
SSL Type
Provide the Mail Server configuration by filling this field.
SSL Method Provide the Mail Server configuration by filling this field.
Look For
You can choose All from the dropdown to scan all emails or choose unread to scan only unread emails.
After Scan
After the Scan your email will be marked as read.
Scan Mails From
You can choose the date and time from when the mails are to be scanned.
Status 
To keep the Status as Active by clicking on the checkbox.
Mail Server Time Zone
Time Zone of the IMPA server configured.




Select the Folder

6. If you entered all the details accurately, you will view a list of the folders in the Mailbox. You can select the folders that you would like to scan.


7. Click on the Finish button after selecting folders. 


Delete

Note! You must select any one of the folder to go to the next step.


Add Rules

Adding Rules are basically used to define what action will be executed on your emails later when the system scans your email messages remember that the incoming email will be scanned evenly to check whether or not they meet the criteria you specified.

To set up rules in a mailbox follow the steps given below:

1. Open the Mail Converter >> Select the desired mailbox on the left corner of the page.
2. Click on the "Add Rule button" on the top right corner of the page.



3. This will open the Add Rule window popup >> Enter the information.


Field Explanation

Field Name Description
From Compares your criteria with the 'From Field' of your incoming emails.
To Compares your criteria with the 'To Field' of your incoming emails.
CC Compares your criteria with the 'CC' of your incoming emails.
BCC Compares your criteria with the 'BCC' of your incoming emails.
Subject Select the "Subject" of your email from the drop-down (Contains, Not Contains, Equals, Not Equals, Begin End).
Body Select the "Subject" of your email from the drop-down (Contains, Not Contains, Equals, Not Equals, Begin End).
Match  Select the specified condition to be matched for the rule action to be executed.
1. All Conditions: It signifies that all conditions should be matched for the rule action to be executed.
2. Any Conditions: 
It signifies that any one of the conditions should be matched for the rule action to be executed. 
Action Select the Action from the drop-down.
Assigned To You can Assign the rule to the users by selecting from the drop-down.


Actions

To set up rules in a mailbox follow the steps given below:

1. Open the Mail Converter.
2. Click on the "Add Action button" on the top right corner of the page.


a. Scan Now- It helps you to scan the mails.
b. Edit Mailbox- You can edit the mailbox by change the information.
c. Select Folders- It helps you to select the folder.
d. Delete Mailbox- You can delete the mailbox by clicking on delete action.
