Roles 

Roles are the position of a person in an Organization hierarchy like CEO, Sales Manager, Support engineer, and so on. The user's position will decide which of the records he/she can access.

How to create Roles?


To create Roles follow the steps given below:

  1. Go to CRM Settings > User Management > Roles.
  2. Click on the "+icon" located on the right side to create a subordinate role under it.


  3. Provide the name of the Role under "Name Field".
  4. "Reports to" in this Field the role is auto-selected. The role superior to the current Role is displayed in the "Reports to field".



  5. Can Assign Records To:
    a. All Users: You can assign all records to Users.
    b. User having the same Role or Subordinate Role: You can assign the records to the same role of the users or subordinate role.
    c. User having subordinate Role: You can assign the records to users who have the subordinate Role.




  6. Privilege
    a. "Assign Privilege directly to Role", can be defined without creating a New Profile and assign it to your Role.  
    b."Assign Privilege from Existing Profile", you can select from the Existing Profile.




  7. "Copy Privileges from" this Field can be defined by selecting the desired Profile from the dropdown if you have already defined the permission in the existing Profile.



Defining permission on Edit Privilege of this Profile

         8. Go to the Edit Privilege section of this Profile.

         9. Choose a Module example Opportunities from the section of Edit Privilege of the Profile.

       10. You can give permission to the users to View, Create, Edit, Delete on all available modules by                Enable/Disable by clicking on the checkbox.


     11. To hide a specific module from the users, you'll need to disable the checkbox corresponding to that module.


How to Define permission on Fields and Tools in Profiles?

It allows you to define the permissions of certain fields to access.

     9. Click on the drop-down button of "Field and Tool Privileges".
   10. Use the toggle button to define the Privileges for the desired Fields.

  • The green colour represents "Write" Permission, it defines a User can be able to Edit and modify the value in the Fields
  • The orange colour represents "Read-Only" permission, It defines a User who can only view but cannot make any modification to the Field value.
  • The black colour represents "Invisible" permission, It means the field is completely hidden and not visible to the Users with this Profile.


  11. Click on the Save button


How to delete the Role?

When you delete a Role, you should transfer the ownership of records to another Role.

  1. Click on the Delete button to delete the role.



  2. The delete role popup appears > click on search to Transfer ownership to another role.


 3. click the save button


How to Edit the Roles?

  1. Click on a particular Role to edit.
  2. In the Edit Role page, edit the information of the role.

  3. Click on the Save button.
